How we look after your information.
This notice explains what personal information StrataGrid collects, why, how long we keep it, and your rights. Last updated 3 November 2026.
Who we are
StrataGrid is run by Ewa Cielepa, a sole trader based in Southampton. Ewa is responsible for the personal information described here. You can contact her at ewa@stratagrid.co.uk.
What we collect, and why

We don't sell your information, and we don't use it for marketing unless you've asked us to.
Who we share it with
- Permission bodies: where a job needs permission, we share the site location, date and flight details (not your contact details unless needed) with bodies such as NATS and the airport, the Port of Southampton (ABP), the council, Network Rail or the military low-flying team.
- Our service providers: Wix hosts this website and stores the forms you send us. Our email and file storage providers hold job records. They act on our instructions.
- Our insurer or legal advisers: only if needed for a claim or legal matter.
The tools on this website
The Can we fly today? checker and the job checker send the postcode or town you type to free public services to find the location and forecast: postcodes.io and Open-Meteo. Maps come from OpenStreetMap, and fonts from Google Fonts. These services receive your device's IP address when your browser contacts them, as with any website. No names or contact details are sent to them.
Cookies
We don't use advertising or tracking cookies. Wix, which hosts the site, may use essential cookies or browser storage to run the site and its forms securely.
How long we keep it
- Enquiries that don't become a job: up to 12 months, then deleted.
- Job records, flight records and images: up to 3 years after the job, unless the law, our insurer or an open claim needs them kept longer.
- Invoices and accounts: 6 years, as tax law requires.
Keeping it safe
Job files are kept on password-protected accounts and devices, with encrypted backups. Only Ewa has access.
Your rights
You can ask to see the information we hold about you, have it corrected or deleted, object to how we use it, or withdraw consent for portfolio use. Email ewa@stratagrid.co.uk and we'll reply within one month.
If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
